Facilities
Facilities are the physical locations of your service programs. The software specifies facilities as Buildings and Rooms, with Rooms housed in Buildings. Generally, most 21st Century programs only have one building associated with all activities, but some programs provide services at multiple community locations. The Facilities tool helps support program staff keep track of the many 21st Century activities within and outside their school building, as well as provide contact information for that location. We suggest you create the building(s) first, then create rooms and associate them with the building.
Facilities Main Page
The Facilities Main Page is where you can view information on Rooms and Buildings. Click on either View Rooms or View Buildings at the top of the page to do so. To view the information on any Room or Building, click on its name. You can also view which room has been designated the Default Room when you view rooms.
Creating a New Building
To create new building:
- From the Facilities Main Page, click on View Buildings at the top of the page. This will display a list of Buildings already entered into the database. Click on Add Building to get to the Add Building page.
- Enter the Name, address, phone, and Contact Person for this Building.
- Click on Create to create this building.
- Click on Return to go back to the View Buildings page.
Creating a New Room
- Click on the View Rooms link from the Facilities Main Page.
- Click New Room on the upper right corner of the page. You will see a blank information page.
- Enter in the room information.
- Type in the room name. If the room is in a school, it is helpful to enter in the name of the teacher who typically occupies the room.
- Choose if the room is Inactive or Active. When you are choosing from a list of rooms to assign to a service, only active rooms will be displayed on the screen.
- Assign a building to the room by clicking the Select Building link at the bottom of the page. Click the building you would like to assign to the room. You will be taken back to the room information page, where the building information will show on the page.
- Click Save to save the information and Return to return to the list of rooms.
Deleting a Building or Room
- Click on the name of the Room or Building that you wish to delete.
- Click on the Delete button at the top of the page. You will automatically be brought back to the list of either rooms or buildings, depending on what you have just deleted.
